How a file moves across the desk
The first pass is always a Policy Folio Review. We collect the declarations pages, the policy jackets and any recent correspondence, then read them together rather than one by one. This first pass is where most surprises live, because a single policy read alone looks complete while the same policy read beside its neighbors reveals an overlap or a seam. Once the folios are understood, the rest of the ledger desk has something solid to stand on.
The second pass is Claim Route Planning. We do not wait for a loss to imagine one. Instead we walk through the plausible events a household or a small business faces and mark the route each would take. The route strip is pinned with small agent flags so that the path from first notice to final settlement is visible at a glance. This is the work that turns a policy document into a plan.
The third pass is a Beneficiary Record Audit. Designations are checked for names, dates of birth where required, and the correct primary and contingent order. Where a carrier holds an old form, we reconcile the record rather than assume the new intent has been captured. Beneficiaries are the reason many folios exist at all, so this pass is never rushed.
The fourth and fifth passes are Premium Schedule Counsel and a Coverage Gap Survey. Together they answer two practical questions: when does money leave the household, and where does protection stop short. We build a calendar for the first and a short written list for the second. Neither is designed to sell anything; both are designed to be read once and understood.
The last pass is Renewal Watch. As notices arrive through the year, each is compared against the term it replaces, and any silent change is raised with the carrier. The desk closes the loop so that the folios, the routes and the beneficiary cards stay true from one season to the next. This is the discipline that a mutual aid ledger desk exists to keep.
